Exhibitor Services Manual

The Exhibitor Services Manual is now available through Freeman OnLine. Freeman, as the official decorator, hosts the ESM on Freeman OnLine, which allows exhibitors to access show details, and order services. You will need your Freeman OnLine user name and password to access the ESM. You will need to create a user name and password if you do not have existing ones. It only takes a few short moments, and if you exhibit at other shows where Freeman is the decorator, you’ll be able to use the same credentials. Please note, you’ll be leaving UBM’s DesignCon site, and going to Freeman OnLine to access the ESM. Click here for the DesignCon 2013 Exhibitor Services Manual.

Some questions from January 10th:

Q: We are located in Hayward and is wondering if you can advise the most economical way to ship booth materials to showsite.
A: There are two options. The first is to ship to the advance warehouse, and Freeman will deliver your freight when they move in to set up the exhibit hall. The second is to ship direct to the convention center on Monday. You'll need to review the fees associated with both options with your shipping vendor and with Freeman. If you ship direct, be sure you appropriately plan for set up time. Your shipping vendor may have to wait in line to unload. Shipping information can be found in the ESM shipping section.

Q: What time do you open on Wednesday to allow us to set up the booth?
A: Your booth must be show ready by 9AM on Tuesday. You may have access to the exhibit hall on Wednesday as early as 8AM.

Q: May I set my booth up on Tuesday morning? It is an easy set up.
A: As long as you are show ready by 9AM on Tuesday, yes.

Q: Is there a cut off date for the use of Exhibitor Invites?
A: There is no cut-off date to use Exhibitor Invites. They can be deployed up to the start date of the event. Linda Uslaner, Marketing Director, is a great resource on how to get the most out of the program. She is out of Manhasset, New York, and can be reached at 516-562-5843, or .

Q: Can we still order the past event attendee or pre-registration attendee lists?
A: Lists cannot be ordered due to the privacy policy with attendees, but there is an email and direct mail option available. Contact your Account Executive for details and assistance. Below is the description of the service:
Send customers and hot prospects a pre-show email or mailing with information about a new product your company is unveiling at DesignCon 2013. B e sure to mention your booth number and a call to action — “visit us” or “register now for your FREE Expo Pass!” Offer them an incentive, such as a free gift or prize for attendees who visit your booth onsite.

Exhibitor Booth Staff Registration and Company & Product Information

You can now register your Booth Staff as well as submit Company & Product Information in the exhibitor portal. Only the Primary Contact and assigned personnel will be able to access the Exhibitor Portal. A password was not assigned to you. To obtain your password, (or to re-set it), please click on “Obtain Password/Forgot Password” on the Exhibitor Portal login page.

To have your company logo included on our Exhibitor List, submit your logo directly to Sara Friden . NOTE: The logo MUST be in the appropriate format, or it will be returned to resubmit. Specs for Logo: JPEG or GIF format required; maximum 200X200 pixels.

Exhibitor Invites

Meeting Space in the Media Center

Exhibitors are welcome to book meeting space in the Media Center for their individual press briefings at no charge. Please contact Linda Uslaner at to request a reservation.

The Media Center may only be used by registered exhibitors, representatives, press and analysts. For each meeting, one attendee must be registered as press (journalist/analyst) and the other must be a registered exhibitor.

Not only does this improve your company's carbon footprint, it extends your message to a global audience and ensures your press materials get maximum exposure before, during and after the show.

Go to the Exhibitor Center on our website and follow the registration instructions to register your exhibitor booth staff. You will also be receiving a letter from Sara Friden, your Exhibitor Coordinator, with specifics on how to register your company's booth staff.

Pass allotments are based on booth size. Only register the staff who will be working in your booth. All other personnel from your company need to be registered as either Conference or Expo attendees. Your staff will be required to show a photo ID to pick up their badges on site.

The quantity of Exhibitor Passes you receive is based on your booth size. For every 100 sq. ft. of booth space, you receive five (5) Booth Staff badges. For example, a company with a 10' x 10' booth would receive five (5) Booth Staff badges, a company with a 10' x 10' Meeting Room, would also receive 5 Booth Staff badges. For PODs and Tabletops the allocation is three (3) passes.

Please note that Exhibitor Passes are only for members of your team that need entrance to the show floor during non-show floor hours (to help with your booth set up & teardown).  If you have staff that do not need this type of access, please recommend they register for an Expo Pass as these are free and “unlimited” unlike your booth staff passes. 

Free Expo Passes grant access to the DesignCon Expo floor as well as to Keynotes, sponsored training sessions, the Opening Night Reception and Chiphead Theater sessions.  Expo Passes are recommended for members of your staff that will not need access to your booth outside of Expo hours and to clients/partners you would like to invite to visit your booth

Exhibitor Passes allow your booth staff access to the show floor to set up your exhibit space during non-show floor hours. Exhibitor Badges should NOT be given to customers, clients or partners (Expo or Conference Passes are more appropriate).  Exhibitor Passes also include access to the same event features as the Expo Pass.

The deadline to pre-register your booth staff is Wednesday, January 23, by 5:00pm Pacific Time.
Yes, as an exhibitor you will automatically receive one (1) complimentary All Access Conference Pass. You do not need to pre-register for the conference pass. It will be issued in your company’s name and it is transferable. That means it can be shared amongst your staff members to attend different conferences at different times.  This will be available at the Registration Desk, onsite.  Please be prepared to show your company ID and provide signature to sign it out.
It is the place where exhibitors update their company and product information (or profile). This information will be posted on the DesignCon Exhibitor List webpage. You will receive details on how to access the Exhibitor Portal from Sara Friden via email.
Please contact your Account Manager or Sara Friden at sara.friden@techweb.com to update your records accordingly.   The new contact needs to be given access to the Exhibitor Portal.
