1. Show Management
The words "Show Management" as used herein shall mean International Engineering Consortium (IEC). The word "Show" as used herein shall mean the collection of exhibit presentations.
The enforcement and interpretation of the following Rules and Regulations are a responsibility of Show Management. The Exhibits Manager works directly for Show Management.
2. Eligible Exhibitors
Organizations developing or selling leading-edge technologies, applications, products, or services which complement the conference subject matter are eligible to exhibit, subject to space availability and show Rules and Regulations.
3. Conditions and Rules
These Exhibit Rules are part of the contract between the Exhibiting Firm and Show Management. Show Management shall have the authority to interpret and enforce these Rules. All matters not covered by these Rules are subject to the decision of Show Management. All decisions so made shall be as binding on all parties as the original Rules. The Exhibiting Firm or its designated Representative who fails to observe these conditions or the terms of the contract may be excluded from the show without refund.
4. Amendments
These Rules and Regulations may be amended at any time by Show Management, and all amendments so made shall be binding on exhibitors equally with the original Rules and Regulations.
5. Disputes
Any and all disputes with respect to show Exhibit Rules must be taken up with Show Management, subject to interpretation and decision as provided in paragraph 3 above.
6. Registration and Admission
Admission to the show will be by official badge obtained upon registration, entitling the wearer to unlimited attendance on the exhibit floor. Separate registration is required for admission to the conference. The badge is not transferable. Show Management shall have sole control of admission policies at all times.
After opening day, exhibitors will be permitted to enter the exhibit area one hour before the scheduled opening time. If for any reason an exhibitor or his representative desires to enter the exhibit area in advance of the prescribed time, or after closing hours, a request specifying the reason and giving all names of persons who will enter the exhibit area in accordance with such a request shall be presented to Show Management for approval.
7. Force Majeure
In the event the facility or any part of the exhibit area thereof is made unavailable for Exhibitor's use for any period of time as a result of fire, flood, tempest or any other such cause, or as a result of governmental intervention, malicious damage, acts of war, strike, lock-out, labor dispute, riot or any other cause or agency over with the Show has no control, or should the show decide that because of any such cause it is necessary to cancel, postpone, or relocate the show, or reduce the installation time, Show time, or move-out time, the show shall have no liability to, or responsibility to, reimburse Exhibitor with respect to any damage or loss, directly or indirectly arising as a result thereof.
8. Exhibitor Responsibility, Indemnification
Exhibitor agrees to indemnify Show Management against and hold it harmless for any cost, expenses, or claims arising out of the acts or omissions of exhibitor, his agents, employees, or invitees. Each exhibitor must keep his exhibit intact and manned during all show hours.
9. Damage of Property
Exhibitors are liable for any damage caused to building, floors, walls, columns, or to standard stand equipment, or to other exhibitors' property. Exhibitors may not apply paint, lacquer, adhesive, or any other coating to building columns and floors, or to standard booth equipment.
10. Unoccupied Space
Show Management reserves the right to rent an exhibit space to any other exhibitor or use said space for such purposes as it may see fit without any liability on its part should the exhibitor's space remain unoccupied 6 hours prior to the show opening or should the exhibitor fail to make payment in full by the specified date in the contract or space rental invoice. This clause shall not be construed as affecting the obligation of the exhibitor to pay the full amount specified in his space rental invoice.
11. Relocation of Exhibits
Show Management reserves the right to alter locations of exhibits as shown on the official floor plan, if deemed advisable at the sole discretion of Show Management, it is in the best interests of the show.
12. Subleasing
No exhibitor may sublease, assign, or apportion all or any part of the space assigned, or assign his rental contract, without the prior written consent of Show Management, which consent may be conditioned upon the payment of such fees as Show Management determines.
13. Installation, Showing, Dismantling
Dates and hours for installation, showing, and dismantling will be as specified in the Exhibitor Manual. Show Management reserves the right to alter the show hours in any manner they see to be conducive to the show. Any stand with a crated display remaining unattended four (4) working hours prior to the opening of the show will be erected or placed in storage at the discretion of Show Management unless otherwise notified by the exhibitor beforehand. All charges for labor, etc. will be charged to the exhibitor's account. No exhibitor will be permitted to commence dismantling any portion of the exhibit whatsoever, to commence packing crates or cartons, or to abandon his display prior to official show closing. Failure to comply with this stipulation of the contract will result in the exhibitor being barred from future participation at events, or in any exhibition conducted or sponsored in whole or in part by Show Management. All storage and handling charges for failure to remove exhibit material from the exhibit floor at the conclusion of the move-out period shall be the responsibility of the exhibitor. Exhibitors requesting the scrapping of any exhibit material, crates, etc., shall pay for any expenses involved thereby. Due to limited storage for crates on site, the majority of crates have to be stored off site. To facilitate the crate return after show closing, dismantling may take place only in the stand area. The aisle space must remain clear to place empties.
14. Hospitality Rooms
Exhibitor hospitality functions shall not conflict with exhibit hours or official event hospitality functions.
15. Photography
During show hours, no photography of an exhibit will be permitted without the prior consent of the exhibitor. Before or after show hours, no photography will be permitted anywhere except by the official photographer appointed by Show Management. Only those professional photographers approved by Show Management will be allowed on the show floor. Any individual, whether exhibitor or attendee, is prohibited from taking photographs or electronic images of exhibit displays or their contents without the permission of the exhibitor involved. Violators will be escorted off the exhibit floor and will forfeit their credentials and/or film. Violators will not be allowed re-entry.
16. Equipment/Products
The exhibitor covenants, represents, and warrants that all equipment or products they will exhibit at the show shall be in full compliance with all applicable laws and regulations that any licenses, authorizations, or permits required by a governmental body will be obtained prior to the delivery of such equipment or products to the show for exhibition purposes.
17. Meetings
Exhibitors may not hold any meeting or event that conflicts with the Exhibition or Conference hours.
